Event details

Please note:
In the following situations, we need to arrange an additional guard at the reception. There are costs involved. 

If you expect more than 200 attendees, we have to arrange an additional guard until the end of your event (max 01:00).
If you expect fewer than 200 attendees, but your event will last until after 22:30, we have to arrange an additional guard
starting at 22:30 until the end of your event at max 01:00.  

We must request additional security at least 3 weeks in advance. Extra security costs about €50 per hour per guard.
During weekend hours, this is € 70. LUC partly depends on other parties to make the necessary arrangements, which takes time.
If there are costs involved, the Event Coordinator will contact you. All additional costs for security, food & beverage, and audio
visual services will be invoiced based on actual costs.

PLEASE NOTE:

Coaster’s (the student bar) opening times are on Wednesdays and Fridays from 19:00 till 22:00 during semester time.
Is your event taking place during Coaster's opening hours, or do you want to use the bar outside their regular hours?

Registration

If your event has a maximum capacity, or you would like to know who is attending, we advise you to use a registration form. 
If you are unsure how to do this, the events office can assist you.

For events at Coasters, please keep the following in mind: 1 hour is needed for cleanup after the event. Please indicate in this form the end time of your event (max. 01:00) 
 
Examples of high-profile guests are: the prime minister, the mayor, or other prominent politicians. 
(First name, Last name, I am a student/staff member/..., (e-mail) address, class of ... , dietary wishes etc.)
This means that we will promote your event on our ‘story’.
